About the Team:
Our Recruiting Operations team is a small, agile group that primarily works in Ashby and Workday. Our purpose is to bring operational excellence and support to the Recruiting team and internal stakeholders to enable them to hire efficiently and effectively, while creating a delightful and personal experience for our candidates.
About the Role:
We are looking for an experienced Senior Recruiting Coordinator to work onsite at our HQ located in San Mateo, CA. Beyond managing complex interview coordination, you will act as a strategic partner to the Recruiting Operations team. You will handle high-priority executive searches, audit data integrity within our systems, and mentor junior members of the coordination team. We are looking for someone who understands the big picture of the hiring lifecycle and can also operate comfortably in the weeds: proactively identifying, implementing, and maintaining workflow improvements in Ashby with a bias toward action and follow-through.
How You’ll Make an Impact:
Partner closely with Recruiters on complex, high-volume, and executive-level scheduling across Engineering and GTM
Serve as a subject matter expert for Ashby and Workday, ensuring data integrity and helping the team troubleshoot process bottlenecks
Lead the charge on candidate experience initiatives, including redesigning our onsite tour program and interview prep materials
Assist in the onboarding and mentorship of new Recruiting Coordinators and contractors
Manage communication with C-Suite executives and EAs to ensure seamless scheduling for leadership roles
Drive specific Operations projects such as interviewer training auditing, shadow program management, and agency vendor management
What Makes You a Good Fit:
You have 3+ years of experience in a high-volume coordination or recruiting operations role
You are an expert user of Ashby/other ATS systems (experience with Workday is highly preferred)
You possess a "process-first" mindset; you don't just solve the problem, you fix the root cause so it doesn't happen again
You have exceptional written and verbal communication skills, with the confidence to push back or guide Senior Leadership when necessary
You are capable of working autonomously and prioritizing conflicting requests with minimal supervision
You enjoy the data side of recruiting and understand the importance of clean tracking for reporting
